WLM currently has an opportunity for an Executive Assistance/Office Manager to join the team at an exciting time of change.  You will play a pivotal role in managing the administrative and operational functions of our office. You will provide comprehensive support to our executive team, enabling them to focus on strategic decision-making and driving business growth. Your exceptional organizational skills and attention to detail will be crucial in maintaining an efficient and professional office environment.

Responsibilities:

  • Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and employees.
  • Manage executive calendars, schedule appointments, and coordinate meetings, ensuring optimal time management and prioritization.
  • Prepare and distribute correspondence, memos, reports, and presentations as required.
  • Conduct research, gather data, and compile information to support executive decision-making.
  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and ground transportation.
  • Plan and organize company events, meetings, conferences, and team-building activities.
  • Maintain and update office records, 
  • Monitor and manage office supplies, inventory, and equipment, ensuring their availability and functionality.
  • Oversee the efficient functioning of office systems, such as telecommunications, IT infrastructure, and facilities.
  • Provide general administrative support, such as handling incoming calls, managing emails, and processing invoices.

Requirements:

  • Proven experience as an Executive Assistant or Office Manager, preferably in a fast-paced environment.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and accuracy, ensuring high-quality work and polished deliverables.
  • Exceptional communication and interpersonal skills, with the ability to interact confidently with individuals at all levels.
  • Proficiency in using office productivity tools (e.g., Microsoft Office suite) and familiarity with office equipment.
  • Strong problem-solving skills and the ability to make sound decisions independently.
  • Discretion and confidentiality in handling sensitive information and matters.
  • A proactive and self-motivated approach, with the ability to anticipate needs and take initiative.
  • Flexibility and adaptability to manage changing priorities and work effectively under pressure.
  • A positive attitude and a collaborative mindset, contribute to a supportive and inclusive work environment.
